How to brief a video team before your Istanbul tech event comes down to seven pieces of information. Organizers who send these before the event consistently get better coverage than those who leave it to the crew’s judgment on the day, simply because the crew is working from your priorities instead of guessing at them.
The seven items to send
- Run of show: session times and speaker names, even if the speaker list is not fully confirmed yet
- Sponsor list by tier: so booth and branding coverage is proportioned correctly
- VIP list: who must appear in group and portrait photos
- Must-get shots: a short list, not a paragraph, of the two or three moments that matter most
- Filming restrictions: any session with a pseudonymous speaker or a no-camera policy
- Announcement and embargo times: so nothing gets published early
- Delivery deadlines: separated into same-day, next-day and final, since each needs a different crew setup
Why “must-get shots” should be a short list
A long, exhaustive shot list tends to get skimmed rather than followed. Two or three genuinely important moments, clearly flagged, are far more likely to get the attention they need than the same priorities buried inside forty bullet points. If the opening keynote line matters more than anything else in the day, say so directly.
When to send the brief
A week before the event is enough for most of this. The one item worth confirming earlier is anything involving filming restrictions or pseudonymous speakers, since that sometimes needs a short call with the speaker’s own team rather than a one-line note.
